About the Role:
The Volunteer Coordinator serves as the dedicated, central point of coordination and information for our growing community of 300+ volunteers. This role exists to foster a welcoming environment, streamline the volunteer integration process, and empower individuals to serve effectively. By managing intake, onboarding, and ongoing engagement, the Volunteer Coordinator ensures that every volunteer feels valued, equipped, and smoothly transitioned into their ministry roles.
Primary Responsibilities
Intake & Onboarding
- Centralized Intake: Process and manage all incoming volunteer requests across multiple channels, including online submissions, emails, phone calls, paper applications, and connection classes that funnel into volunteering.
- Ministry Coordination: Act as the primary liaison between new volunteers and ministry leaders to determine the best fit and coordinate placement.
- First-Day Welcome: Be physically present on each volunteer’s first day of service to guide them, introduce them to their team, and ensure a smooth, comfortable, and encouraging transition.
Scheduling & Event Coordination
- Weekly Scheduling: Organize and distribute weekly schedules for volunteers across all three church services, ensuring adequate coverage for all required areas.
- Collaborative Leadership: Work closely alongside other ministry directors to understand their specific volunteer needs and provide ongoing administrative support.
- Church-Wide Events: Spearhead the recruitment, coordination, and management of volunteer teams for large-scale, church-wide events and special services.
Engagement, Review, & Reporting
- Quarterly Follow-Ups: Conduct quarterly check-ins with existing volunteers to gather feedback, address concerns, maintain high engagement, and ensure they feel spiritually and practically supported.
- Executive Reporting: Compile and present a comprehensive quarterly review and report to the executive leadership team. This report will detail volunteer metrics, celebrate highlights and wins, and transparently outline any areas of concern or needed improvement.
Qualifications & Skills
- Excellent interpersonal and communication skills, with a welcoming and relational approach to ministry.
- Strong organizational and administrative capabilities, with the ability to manage multiple intake streams and scheduling demands simultaneously.
- Ability to work collaboratively with various ministry directors, leaders, and the executive team.
- Flexibility to adapt to the dynamic needs of weekend services and special church events.
Reporting Structure
Reports To: Operations Manager
Schedule
Onsite Tuesday, Wednesday, Thursday, Saturday, and Sunday (Nights and weekends as needed)
