About the Role
We are seeking a detail-oriented and organized Administrative Assistant to support our Human Resources and Operations functions. This role is ideal for someone with a background in HR administration who enjoys keeping systems organized, supporting staff, and helping day-to-day processes run smoothly. The Administrative Assistant will serve as a key support role for staff and leadership and will occasionally communicate with external vendors. This position does not require senior-level HR expertise but does require familiarity with HR processes, strong organizational skills, and comfort using technology.
Supervision
The Administrative Assistant reports to the Executive Director.
Key Responsibilities
Human Resources Support
Assist with HR administrative functions, including:
- Maintaining employee records and documentation
Supporting onboarding and offboarding processes
Tracking basic HR forms, compliance documents, and internal policies - Help coordinate staff communications related to HR processes, schedules, and updates
Support leadership with HR-related organization and documentation
Administrative & Office Support
- Provide general administrative support to staff and leadership
- Manage calendars, scheduling, and meeting coordination
- Maintain organized digital filing systems and shared documents
- Assist with document preparation, data entry, and record-keeping
- Help track tasks, deadlines, and follow-ups across teams
Technology & Systems
- Use Office 365 tools (Outlook, Word, Excel, Teams, OneDrive) regularly
- Assist with basic technology tasks such as document formatting, shared folders, and internal systems
- Learn and adapt to new tools or platforms as needed
Communication & Coordination
- Communicate clearly and professionally with staff
Occasionally interact with vendors or external partners - Handle sensitive information with discretion and confidentiality
Required Skills & Qualifications
- Prior experience or background in Human Resources or HR administration
- Strong attention to detail and accuracy
- Excellent organizational and time-management skills
- Office 365 proficiency
Comfortable using technology and learning new systems - Strong written and verbal communication skills
- Ability to manage multiple tasks and prioritize effectively
Preferred (But Not Required)
- Experience working in a nonprofit, church, or mission-driven organization
- Familiarity with HR platforms or employee management systems
- Experience supporting multiple departments or leadership teams
