About the Role
We are seeking a reliable, detail-oriented Administrative Assistant to support the day-to-day operations of our organization. This role is ideal for someone who enjoys keeping things organized, supporting multiple team members, and helping systems run smoothly behind the scenes. The Administrative Assistant will work closely with staff and occasionally with external vendors to ensure administrative, financial, and operational tasks are completed accurately and efficiently.
This position does not require advanced accounting expertise but does require comfort working with numbers, systems, and technology.
Supervision
The Administrative Assistant reports to the Executive Director.
Key Responsibilities
Administrative & Office Support
- Provide general administrative support to staff and leadership
- Manage calendars, schedule meetings, and coordinate logistics as needed
- Maintain organized digital and physical filing systems
- Assist with document preparation, data entry, and record-keeping
- Help track tasks, deadlines, and follow-ups to keep operations moving smoothly
Accounting & Financial Support
Assist with basic accounting tasks such as:
- Data entry
- Expense tracking
- Invoicing support
- Reconciling simple reports
- Work alongside leadership or an external accountant/bookkeeper as needed
- Maintain accuracy and confidentiality with financial records
(This role does not require CPA-level knowledge or advanced accounting experience.)
Technology & Systems
- Use Office 365 tools (Outlook, Word, Excel, Teams, OneDrive) regularly
- Assist with basic tech tasks such as document formatting, shared folders, and internal systems
- Learn and adapt to new tools, platforms, or workflows as needed
Communication & Coordination
- Communicate clearly and professionally with staff
- Occasionally interact with vendors or external partners
- Handle sensitive information with discretion and confidentiality
Required Skills & Qualifications
- Basic accounting or bookkeeping background (not a full accountant)
- Strong attention to detail and accuracy
- Excellent organizational and time-management skills
- Office 365 proficiency, especially Outlook, Word, and Excel
- Comfortable using technology and learning new systems
- Strong written and verbal communication skills
- Ability to manage multiple tasks and prioritize effectively
- Dependable, proactive, and solution-oriented
Preferred (But Not Required)
- Prior experience working in an administrative or office support role
- Experience in a nonprofit, church, or mission-driven organization
- Familiarity with basic financial tracking or reporting systems
